A consumable restocking workflow for STRs
Create a repeatable short-term rental restocking system for guest essentials, owner inventory and low-stock reporting.

Restocking works best as a small inventory system, not a last-minute visual guess. Define the guest-ready quantity, storage reserve and reorder point.
Define the guest-ready standard
List exactly what should be visible for each stay. Separate included essentials from optional amenities so quantities can be verified without interpretation.
- Bathroom paper and toiletries
- Kitchen paper and cleaning basics
- Coffee, tea or welcome items
- Laundry and dishwasher supplies
Set minimum and reorder levels
Each item needs a presentation quantity and back-stock threshold. High-use or long-lead items require a larger buffer than easy local replacements.
- Mark storage minimums
- Account for maximum occupancy
- Increase peak-period buffers
- Assign purchasing responsibility
Make counting part of the turnover
Keep the check fast and consistent. A structured list or storage photo can confirm what remains and reduce duplicate purchases.
- Check the same storage points
- Report low stock before departure
- Photograph unusual shortages
- Separate owner and guest stock
Create an exception path
When a critical item is missing, the team should use approved backup stock, notify the operator or make an authorized purchase.
- Identify critical items
- Set purchase authorization limits
- Document approved substitutes
- Confirm resolution before arrival
